How it works

This is where everything else lands. Every person has a record, with what they told Sía and the score they got. Whoever fits opens a file and moves forward with the status in view: pre-assessment, documentation, sent to lenders, offer, the FEIN (the standardised EU mortgage offer document) and signing. Whoever doesn't fit yet stays in follow-up until their moment comes. Latidos sorts the day's work queue, the document checklist shows what's missing before anything goes to a lender, and offers as they come in are compared on the same screen.

The contact who isn't ready yet doesn't fall out of the database

Anyone still house hunting or still thinking it over keeps their score and everything they've already shared, and gets follow-up until their moment comes: nurture messages, reminders for the team and an open door to talk to Sía again whenever they answer. Buying a home takes months; your database has to last those months.

Latidos: the work queue, already sorted

Instead of a task list someone has to prioritise by hand, the CRM suggests what to deal with first: the file with a deadline coming up, the one that's been stuck for days, the one waiting on a lender's reply and the follow-up contact who's just replied. Your team starts the day knowing where to begin.

One record per person, even if they've been in touch three times

If the same person comes in through a Meta ad, your website and a referral partner, the CRM spots it and suggests merging: one single history, instead of two advisers calling the same door.

A document checklist showing what’s missing

ID, recent payslips, tax return, employment history, work contract and bank statements, ticked off one by one. And the nota simple from the Land Registry as a step in the file, because that’s where the property’s charges are recorded (an existing mortgage not yet cancelled, a seizure). The Catastro describes the property, but it doesn’t say what’s owed against it. The file isn’t marked ready to send while anything is still outstanding.

The CIRBE, with the client’s authorisation kept alongside it

If your firm is registered as a mortgage credit intermediary, Law 5/2019 (Spain’s mortgage credit law) lets you request the client’s credit report from the Bank of Spain, always with their prior written authorisation. The CRM stores that authorisation alongside the file and keeps the caveat visible: the CIRBE (the Bank of Spain’s credit risk register) isn’t up to the minute, lenders report monthly and the data takes a while to catch up, so a very recent debt might not show yet, and it gets checked against what the client says.

Which lenders have been approached

Every submission is logged with its date and its answer, so you never knock on the same door twice or leave one without a reply. The applicant's history travels with them if you need to try again.

Offers received, side by side

Terms, tie-in products and timeframes for every response in the same table, ready to explain to the client without rebuilding it by hand in an email.

Reminders that don't rely on memory

The follow-up call, the document someone promised, the reply that's been a week coming, the contact you had to get back to in three months. If something's due, it flags it beforehand, not after.

The firm's dashboard

Files by status, how many are moving forward, how many are stuck and at which step, how many contacts are in follow-up and how much of a load each adviser is carrying. It's there to share out work, not to decorate a screen.
